When my dad passed away, my brothers and I found ourselves at his kitchen table surrounded by files, keys we couldn't identify, and accounts we didn't know existed. He had a will. When most people start thinking about getting organized, they look for the easiest possible starting point. A notebook. A printable checklist. An inexpensive binder, sometimes called a "death binder" or an "emergency binder." Something that feels like a first step.

And I understand that impulse completely. I did the same thing. Maybe you've set up your will or trust and figured you're covered. Maybe you even have a little workbook you've filled out. But look around your home right now. Are there file cabinets, junk drawers, stacks of paper? Is important information in your phone, on your computer, or just in your memory? Will your next of kin know what to do with any of it?

Here's what I've seen happen, over and over: people buy something, feel good about having bought it, and then it sits on a shelf. Or they fill it out, and when the time comes, their family discovers it only covered part of what they needed.

The problem isn't motivation. The problem is that most partial solutions have the same three gaps:

• They don't know what they're missing. A blank notebook doesn't know to ask about your toll pass, your storage unit, or the neighbor who has a spare key. If you don't already know what needs to be organized, the tool can't tell you.
• They're organized for you, not your family. Most systems help you record information. Very few tell your next of kin what to do with that information: how to close an account, what to bring to the bank, what to expect when managing a home they've never been inside.

What to look for in any estate organization system
